Acknowledgement and Acceptance of Terms & Conditions
Please note that by partaking in any courses/clubs or services run by The Art Trolley Creative Workshops and/or using this website you acknowledge that you have read, understood and accepted the terms and conditions. Please read them carefully.
Lorena Carbajal, trading as The Art Trolley Creative Workshops, reserves the right to amend or update such terms and conditions at any time without prior notice.
POLICY FOR CLASSES AND WORKSHOPS RUN AS ART CLUBS IN SCHOOL ONLY
Bookings
The Art Trolley Creative Workshops offer an online booking service. In order to successfully book a place you must complete the online form and make payment by the deadline provided. Failing to provide details via the online booking form and/or completing payment by the deadline will invalidate your booking, and your child(ren) will not be guaranteed a place. Please note Trial sessions are Not normally offered. Trial sessions may occasionally be offered at the sole discretion of The Art Trolley Creative Workshops . Attending a trial session, does not guarantee a place in a particular Session.
Please note: If your child(ren) attended The Art Club last term, this does not mean that they will be automatically signed up for The Art Club next term. You will need to follow the booking and payment process each term by the deadline provided. - If you have paid for two consecutive terms your place will be guaranteed for both terms but not thereafter.
Payment
All fees must be paid in advance by the deadline provided. Payments can be made by online bank transfer or website (details will be sent by email along with the sign-up link). Late payment will incur an administration charge of £10.
Behaviour
Bad behaviour is not tolerated at The Art Trolley Creative Workshops. In the interests of promoting positive behaviour children are made aware of The Rules during their first session and reminded regularly.
The Art Trolley Creative Workshops kindly asks Parents/Carers for their support in promoting and maintaining this positive behaviour.
Parents should be aware that children who are disruptive, abusive or rude may be excluded.
Art Club Rules
In order to ensure a safe and happy environment we encourage positive behaviour and hope that this will impact on all learning experiences offered at The Art Trolley Creative Workshops.
Some basic behavioural expectations include: Listening well to teacher and others, following instructions, raising ones hand, respecting the materials and equipment, being respectful to others, showing good manners at all times, no inappropriate language or shouting, no violence of any kind.
Any children unable to behave in the correct manner will be subject to the following Behaviour Procedures:
Our expectation is that every child will behave well and therefore they will start each term on a ‘green card’.
1 - A verbal warning will be given, and if necessary reinforced. The child will be reminded of the rules and expectations.
2 - If the inappropriate behaviour continues the child’s name will be moved an ‘amber card’. At this point the School Staff and Parents/Carers will be informed.
3 - In the event of continuing or escalating inappropriate behaviour, the child’s name will move from ‘amber’ to ‘red’. At this point Parents/Carers and the Headmistress will be informed, the child will be removed from The Art Club and will not be allowed to take part in any club or activity run by The Art Trolley Creative Workshops until the following term.
Please note: If a child is moved to an ‘amber card’ they will be encouraged to show consistent positive behaviour and, on demonstrating this, will be moved to a ‘green card’.
Late Collection
We ask that parents/carers arrive punctually to collect their children. The Art Trolley Creative Workshops is not responsible for the welfare of your child once the club/event finishes. Please call the teacher (Lorena Carbajal) as soon as you know you are going to be late.
Please note: you will be charged for another full session if you are more than 20 minutes late collecting your child. If you are persistently late you will be asked to make other safe arrangements for collection. Falling to do this will result in the child(ren) losing their place at The Art Club.
Cancellation / Art Club
Workshops are subject to cancellation if the minimum number of attendees is not met. In the event that a workshop/ session is cancelled by the teacher an alternative date will be offered where possible. Failing this a refund will be issued for the session(s) missed.
In the event of cancellation, attendees will, whenever possible, be notified at least five days in advance. In the unfortunate event of illness / unforeseen circumstances forcing cancellation, I will attempt to give at least 24hrs notice.
If a session is cancelled due to unscheduled venue closures, or if the venue decides to cancel a session . No refund will be given.
In extreme weather conditions we reserve the right to cancel the session at short notice to ensure the safety of all involved in the art session. Alternative dates will be laid on at a later date to compensate. No refunds will be given.
Cancelling your place in the Art Club
Payment for each term is made for specific course dates and all lessons must be used within that term. The lessons cannot, under any circumstances, be transferred to later course dates, classes, or events outside of the course dates.
A minimum of 14 days’ notice must be given, in writing, if you wish to cancel your child’s place at The Art Club.
Refunds (ART CLUB ONLY)
You are entitled to a refund if:
• An alternative date for a cancelled session was not possible. A refund will be issued for the session(s) missed. No written request is required.
• A club’s minimum numbers are not meet and the club is cancelled indefinitely. No written request is required.
You won’t be entitled to a refund if:
• A child misses one or a number of sessions.
A parent decides to stop their child attending once payment has been made. *In the case of pre-payment of two consecutive terms the first term will not be refunded. The second term will be refunded providing notice is given 7 days prior to the first session of the second term (a £5 cancellation fee will apply in this case). In certain circumstances, you may be able to get a refund if only the first session from a block of sessions has been used, after that refunds are not possible.
• A parent fails to interpret course/term dates correctly and fails to send their child after they have booked.
• A child is removed from The Art Club on grounds of continued unacceptable behaviour.
• A child is removed from The Art Club on grounds of persistent late collection.
To apply for a refund please send details of your request, by email, to The Art Trolley Creative Workshops. Once the request has been received a decision will be made as to whether or not a refund will be granted. If Refund is granted, requests made 24 hrs before course starting will only receive 50% of block of sessions paid.
Medical information
Any medical conditions that children may have must be fully disclosed at the time of booking.
Special Educational Needs
Please notify the teacher of any relevant Special Educational Needs in advance of the first session.
Liability
NO LIABILITY WILL BE ACCEPTED BY LORENA CARBAJAL OR THE ART TROLLEY CREATIVE WORKSHOPS FOR ACCIDENTS, ILLNESS OR INJURY THAT MAY HAPPEN WHILE YOUR CHILD IS AT ANY WORKSHOP, SESSION OR ART CLUB.
Film/Photography
The Art Trolley Creative Workshops may, from time to time, take photographs/film/audio of children’s artworks produced during The Art Trolley Creative Workshops. This material/data is solely used for the purpose of promoting and publicising The Art Trolley Creative Workshops, in printed material and on the website and on websites relating to www.thearttrolley.com. (If you do not wish your child to be photographed/ filmed parents/guardians should inform The Art Trolley by writing /email before the start of the term - Many thanks) By taking part in workshops/ events/ sessions run by The Art Trolley Creative Workshops you hereby agree that copyright and all other rights in respect of photographs/film/audio of your child, and/or their artworks are hereby assigned to the Lorena Carbajal.

Except solely for your own personal and non-commercial use no part of this website may be copied, performed in public, broadcast or adapted without the prior written permission of Lorena Carbajal. Copyright of the content of classes and workshops is owned by Lorena Carbajal.
POLICY FOR THERAPEUTIC PLAY SESSIONS ONLY
Therapeutic PLAY Sessions Contract
An assessment, carried out with parents/guardians prior to starting Play Therapy sessions, will establish the number of sessions offered initially to your child; this would normally be a minimum of 12 sessions with a review after 8 sessions. During the review meeting it will be decided whether to extend the number of Play Therapy sessions. We will continue Play Therapy sessions until we feel that our objectives have been completed, unless extenuating circumstances mean that this is not possible. If this is the case, we will ensure that an appropriate number of sessions allow for a well-handled ending.
Confidentiality
I follow PTUK’s confidentiality policy, which means that information obtained is only what is considered necessary and will be stored in a locked filing cabinet in a safe location. Information is only shared on a need-to-know basis if it would help the therapy process, permission will be obtained from parents/guardians before any information is shared. Any information shared by the child in a session is confidential and may only be shared with the parent/guardian with the child’s permission. The only exception is child protection issues, which would be shared with other professionals following the school’s Child Protection Policy. In these cases, the child will be made aware of what is being shared.
Supervision
All professionals working therapeutically with children and/or families must have regular supervision to support good practice as required by PTUK. All clients are presented under a pseudonym to protect their identity.
Complaints
If you are unhappy with the service provided, in the first instance please speak to me and I hope we can resolve any issues. If you are still unhappy, please speak to your Head teacher, or you can contact PTUK.
Payment
You will be informed of payment via an invoice after every session. Payment is due before the next scheduled Play Therapy session.
Cancellations
Please inform me of any planned events that would make your child unable to attend Play Therapy sessions as soon as you can. If a session is cancelled due to a planned event with less than 24 hours notice, you will be charged for that session. If a session is cancelled due to illness or unforeseen circumstances with less than 2 hours notice, you will be charged for that session.
